Terms of Service

Version 2026-10-20.3
These terms are between you and Vincent Caesar Alcantara (sole trader; shown as 'ALCANTARA, VINCENT CAESAR' on the ABN register) trading as StrataSync (ABN 94 284 349 791). Contact: admin@stratasync.au. In these terms, “StrataSync”, “we”, and “us” mean that sole trader, trading as StrataSync.
StrataSync is software for people who look after a strata scheme in Australia. It is for self-managed schemes. It is not a strata managing agent. The scheme’s legal body may be called an owners corporation, a body corporate, a strata company, or another name in that state or territory. These terms say “the scheme” for that body. They do not adopt the strata legislation of one state as the law of the contract.
Acceptance of these terms
By creating an account, or by keeping on using StrataSync after these terms are shown to you, you agree to them. If you do not agree, do not create an account and do not use the service.
If you use StrataSync for a scheme, you confirm that you have authority to bind that scheme, or that you are using it only as a person the scheme has allowed. That includes an owner, a committee member, a resident, a tenant, or someone helping the committee.
Accounts
You must be at least 18 years old, and able to enter a contract, to create an account. The service is for Australian strata schemes. You do not have to live in a particular state.
The person who sets a scheme up must have authority to act for the owners corporation, body corporate, or strata company (or the equivalent body in that state or territory). Setting the scheme up is a statement that you have that authority. If you do not, do not set it up.
Keep your password to yourself. You are responsible for activity under your account until you tell us it is no longer safe. If you think someone else has used it, contact Vincent Alcantara at vincent@stratasync.au.
Google sign-in is optional. It appears only when this deployment has Google sign-in turned on. If you use it, Google’s own terms apply to that sign-in as well.
Subscription and billing
The subscription is A$5 per lot per month, plus GST. A lot is a lot, or the equivalent unit, recorded for that scheme in StrataSync. The fee is billed monthly through Stripe.
The subscription renews each month until it is cancelled. The tax invoice shows the GST. The person who starts the subscription, or the scheme they represent, is responsible for the fees.
The subscription is monthly, per lot. You may cancel at any time by writing to Vincent Alcantara at vincent@stratasync.au. Access continues to the end of the paid month. There is no refund for a partial month. If we made a billing error, we refund that charge in full. Nothing in these terms excludes a right or a refund you have under the Australian Consumer Law, including a refund where there is a major failure. Cancelling does not, by itself, delete the scheme’s records. Export and deletion are under Suspension and termination.
StrataSync does not store the full card number. Card details are collected by Stripe. The current application does not yet create this monthly subscription in Stripe, so that fee is not being charged today.
AI usage fees
If a feature sends a scheme’s documents to an AI provider for extraction, that usage is charged at cost. We do not add a markup. The fee is the amount the provider charges us for that scheme in the billing period, and we pass it through on the Stripe invoice, separate from the per-lot subscription.
Usage is measured as the usage the provider reports for that scheme. The provider chooses the unit, for example a page or a token. The invoice shows the amount.
AI features may be processed via Vercel AI Gateway by third-party model providers such as xAI (Grok), OpenAI and Anthropic. We may change providers, including to an Australian-hosted model, and we will update these terms when we do. Those providers may process data outside Australia, including in the United States. They are not permitted to use customer personal information to train their models.
Acceptable use
You must not:
- break the law, or upload material you do not have the right to upload
- upload personal information about an owner, resident, or tenant unless the scheme has a proper basis to hold it and to give it to us
- try to break, probe, or bypass the security of the service
- use the service to hold, receive, or manage levy money or other scheme funds
- treat AI output as checked fact, or as legal or financial advice
- upload malware, or use the service to harm another person
- resell the service, or scrape it in bulk
We may remove content, or suspend access, if you do these things.
Your content
You, or the scheme, keep ownership of the records and documents you upload. We do not claim that ownership.
You give StrataSync a limited, non-exclusive licence to host, store, back up, display, and process that content only so we can provide the service to the people the scheme has authorised. The licence includes sending a document to an AI provider when you use an extraction feature. It ends when the content is deleted, except for copies we must keep by law, and copies that remain in backups until those backups age out.
You confirm that you have the rights you need to give that licence, including any personal information in the documents.
AI output
Extraction and other AI output can be wrong, incomplete, or out of date. You must check it against the source document before you rely on it. AI output is not legal advice, financial advice, or a decision of the scheme. The scheme stays responsible for its records, its levies, and its decisions.
Scheme funds
StrataSync does not hold, receive, or manage levy money or other scheme funds. It is not a trust account and it is not a bank. A levy figure, a payment record, or a balance in the product is a record only. It is not money we hold for the scheme.
The repository includes a Stripe test adapter that can open a Checkout page for a single levy notice when a deployment is switched off the default mock provider. That adapter is not an offer to collect levies, and it is not a trust account. Do not use it to pay scheme funds into a StrataSync account. The only payments these terms authorise StrataSync to bill are the software subscription and the AI usage fee described above.
Liability and the Australian Consumer Law
Nothing in these terms excludes, restricts, or modifies any consumer guarantee, right, or remedy under the Australian Consumer Law (Schedule 2 to the Competition and Consumer Act 2010 (Cth)), or any other right that cannot lawfully be excluded.
Where the Australian Consumer Law allows a remedy to be limited, our liability for a failure to comply with a consumer guarantee is limited, at our option, to supplying the service again or paying the cost of having the service supplied again.
Subject to those rights, and only to the extent the law allows, we are not liable for indirect or consequential loss, including loss of profit or loss of opportunity. Our total liability for claims in connection with the service in any 12-month period is limited to the fees you paid us for the service in that period. That limit does not apply where the law does not allow it, including liability for personal injury or death caused by our negligence, or liability for fraud.
We do not promise that the service will be uninterrupted or free of errors. Statutory guarantees that cannot be excluded still apply.
Suspension and termination
We may suspend or close an account if fees are unpaid, if these terms are broken, or if we need to protect the service or another person. We will tell you when we can reasonably do so.
You may stop using the service, and ask us to close the account, at any time, by writing to Vincent Alcantara at vincent@stratasync.au.
After cancellation, you can ask for an export of the scheme’s records for 30 days. After those 30 days, we delete the data, except where retention is required by law. Copies in backups are removed as those backups age out.
Changes to these terms
We may update these terms. The new version is published on this page, with a new version number and a new “Last updated” date. If a change materially reduces your rights, we will tell you before it starts, by email or in the product. If you keep using the service after the change starts, you agree to the updated terms. If you do not agree, close the account before the change starts.
Governing law
These terms are governed by the laws of New South Wales, Australia. The courts of New South Wales hear disputes about these terms. That choice does not take away a right you have to raise a dispute in your own state or territory under the Australian Consumer Law. These terms do not cite one state’s strata Act as the law of the contract.
